WoWQuester is the event planner and Chronicle for LiLBastardsClub's World of Warcraft players. It is run by LiLBastardsClub on the community's own server. This page explains, in plain terms, what it keeps about you and why.
The short version
- We keep only what the planner needs: who you are on Discord, the characters you add, and the events you join.
- No ads, no tracking scripts, no selling or sharing your data.
- Nothing about you appears in a public Chronicle story unless you have said yes.
What we keep
- Your Discord identity. When you log in with Discord we ask only for the
identifypermission. That gives us your Discord user ID, username and display name (the username lets hosts add you as a co-host by name). We do not see your email, your servers or your messages. Your community roles are checked through the community bot when you use WoWQuester; they aren't stored as a profile. - Your characters. What you type in: name, game edition, region, realm or ruleset, faction, race, class, level, spec, preferred role and any notes. You can remove a character at any time.
- Events. Events you plan, co-host, sign up for or withdraw from, and attendance that an organiser records.
- Chronicle stories. Story drafts, their revisions and review decisions.
- Screenshots. Images you upload to a story (PNG, JPEG or WebP, up to 5 MB and 6 per story). We re-encode every image, which removes hidden metadata such as camera details and location.
- A login cookie. One cookie keeps you logged in for up to 72 hours. It is only used for this site, it isn't readable by page scripts, and we store only a scrambled (hashed) copy of it.
- Short-lived technical records. To stop abuse we count requests per minute, which can briefly involve your IP address. A security log records actions such as creating, approving or removing things, and who did them.
- Calendar links. If you create a personal calendar link, we store only a hashed copy, and you can revoke it.
What the public can see
Public pages (the event list, the public calendar and the Chronicle) show event details and head counts. They never show Discord names or IDs.
When you join an event you choose whether to name your character. If you do, your character's name appears on that event's roster, on its event card in Discord, and in any Chronicle story about it. If you don't, you're shown as "a tank", "a healer" and so on, or counted as "+1 other". Hosts and officers still see your character so they can organise the group. Naming is off unless you turn it on. You can change it per event, set your default under My events → Privacy, and press Stop naming me in this story on a published story at any time; that takes effect straight away.
Who else is involved
- Discord handles login and the community bot, under Discord's privacy policy.
Nobody else receives your data. People with administrator access to the community server can technically read the database, as with any self-hosted service.
How long we keep things
- Login sessions: until they expire, plus 1 day.
- Withdrawn or rejected signups for past events: 365 days.
- Cached game data: 30 days. Finished background jobs: 14 days.
- Security log: 400 days.
- Encrypted backups: 30 days.
- Published Chronicle stories stay up until they are unpublished.
- Your Discord identity, characters and event history: for as long as you use WoWQuester, or until you use Remove me.
Your choices
- Remove your characters and withdraw from events at any time.
- Turn Chronicle naming off for any event, or stop being named in a published story.
- Remove me. Under My settings → Remove me you can delete your WoWQuester profile yourself. It shows exactly what will happen and asks you to type "remove me" first. It withdraws you from every event, cancels upcoming events you host (telling the people signed up), deletes your characters, replaces your names in Chronicle stories with a neutral description such as "a healer", and disconnects your Discord login. It takes effect straight away and can't be undone. The security log ages out after 400 days and backups after 30 days.
- If you can no longer log in (for example, you've left the Discord), ask an organiser and they'll do the same removal for you.
- Ask for a copy of what we hold about you.
